EXHIBITION TERMS & CONDITIONS

Exhibition Space
NORMAL STALL SIZE

12 Sq. Mt. or in Multiples of 12 Sq. Mt. (if available).

The Organizers reserve the right to reduce the size of the stalls depending on the number of eligible applications and available

a) Details of Standard Shell Stand
Fully constructed stall of 12 Sq. Mt. will include.
  • Three side partition for normal stand
  • One waste paper basket
  • Floor Carpeting
  • Onetable
  • Fascia with participant’s name
  • Three Chairs

1. Electricity Fittings with six spotlights and one point 6 AMP for 12 Sq. Mt. stand.

2. The shelves, showcases and infrastructure other than the above will be arranged by the participants on their own.

3. Badges/ passes depending on the area allocated to the exhibitors shall be issued free of cost.

4. General security for exhibition halls shall be provided from the day the fair starts.

Participation Charges, Mode & Schedule of Payment

1.Platinum Hall @ Rs. 10,500/- per Sq. Mt. + GST

2.Gold Hall @ Rs. 9,500/-per 5q. Mt. + GST

3.Silver Hall @ Rs. 8,500/- per Sq. Mt. + GST The participants are liable to pay GST

4.The applicant must submit their application along with the fee as per indicative fee table. All payments are to be made by Cheque/ DD/ Pay Order drawn in favour of “FORHEX Fair payable at Jaipur. The last date for submission of application is 30th jun 2024 & for balance final payment is 09th Jul 2024.

(Applicants may note, the organizers can at any time ask them to furnish documents in support of the facts & figures submitted by them.)

1. The organizers reserve all the right to accept or refuse any application to take part in the exhibition or regarding displaying any exhibits. The Organizers also reserves the right to allocate or re-allocate any stall to any applicant.

2. The Organizers also reserves the right to ask the applicant, the details/ samples/ photographs of the products to be displayed in the fair. The Organizers can also curtail the area of any stall depending on the criteria and the availability of space. These discretionary powers may be exercised by the Organizers, keeping in view the objectives of FORHEX. All decision of the Organizers to such effect shall be final. No reason for any such decision shall be given and no claim or objection from any exhibitor in relation to this shall be entertained.

3. The refund of any amount either on account of excess payment or due to non allotment of space shall not bear any interest. However, refund would be made within 90 days after the close of the fair.

4. Submission of applications/deposit of fee does not mean the confirmation of allotment of stand.

5. If the total space requirements, from all the applications received on or before the last date fixed for the purpose is less than or equal to the available space, all the applicants will be allotted the space as per availability.

6. If the total space requirement is more than the space available for allotment, the Organizers reserve the right to devise reasonable criteria for allotment of space.

GENERAL EXHIBITOR RULES

1. Exhibition: FORHEX Fair – 2024, Jaipur dated 09-12 Aug, 2024 The fair will be inaugurated in the morning of 09th Aug, 2024

2. Definition. The Fair shall mean the Retail Fair & the Buyer-Seller meet. The “Exhibitors” shall mean the party to whom space has been allotted in the exhibition completing all formalities and the “Organizers” shall mean FORHEX FAIR commitee

3.Objectives. Among others the following:
A. To promote Handicraft, Textile and Gifts & Accessories trade and Industry within and outside India.
B. To create awareness about the potential of this industry.
C. To create job opportunities at rural & urban level.
D. To undertake projects for enhancement of Handicraft, Textile and Gifts & Accessories sectors

in the event of cancellation of participation by any applicant at any stage, the entire amount deposited till then by the applicant will be forfeited. The participant is allowed to withdraw till 30th June only, request has to be made in writing to the organisation

Space allocation and use
  • Space will be allocated to member exhibitors by the name of the organization it is booked for.
  • The organizers reserve all powers to allocate booths in any manner they deem fit and all decisions to such effect shall be final. The exhibitor has no right of refusal if the allotted stall is not one of its options.
  • The booths will be allotted by a draw of lot, in case more applications are received than the available stalls, the draw of lot will be done based upon size of the stall and preferences.
  • The draw of lot will include only those participants who have submitted their payable amount as per the indicative fee table by the due date.
  • The organizers also reserve the right to change, withdraw or otherwise deal with exhibition space allocated to an exhibitor or change the date and/ or venue of the exhibition. Even if such matters have been confirmed and in such circumstances the contract between the organizers and the exhibitor shall continue to bind the parties as appropriate.
  • The Organizers can extend the total exhibition area, add additional halls or outside the main halls. The stand fee however will be same for stands. The organizers reserve the right to cancel the fair or change its venue at any point of tim or revise visiting hours for reasons beyond its control. No claira whatsoever shall be entertained from any exhibitor/ visitor on this The Organizer reserve the right to restrain any participant from displaying exhibits which the organizers finds objectionable.
  • By signing this contract, exhibitors are deemed to have signed and agreed to the terms and conditions of the letter of lien.
  • The Organizer reserves the right to allocate/ reallocate space, change the layout, add or delete halls which may affect the location of stalls. Its decision in this regard shall be final and binding. The layout of the stands shall be determined by the fair organizers and shall be final and binding. However the fees shall be adjusted as per difference of rate of halls In case, space in any stall gets reduced due to pillar or any other obstruction, the Organizer is not liable for any compensation.
  • The organizers reserve the power to close any machine or device and remove it any time before or during the exhibitions, if in the opinion of the organizers, such machine or device is dangerous or is not in accordance with any regulations provided hereinafter or, if any exhibitor or its representative fails to observe and comply with any of these regulations. The organizers may remove any such exhibitor or his representative misbehaving at the exhibition center with reasonable force, it necessary at the expense of the exibitors, without the organizers being table for any loss or damage which may be occurred by or throush, such removal, and any sum of money which may have been paid by the exhibitors for rent and charge shall not be refunded.
  • No reduction on the size of booth once applied for in the application.
Booths and Exhibits
  • Modular Shell scheme booths are all of uniform design including the fascia board with the Exhibitors name. No alterations or additions should be made to the standard fascia and lettering by the exhibitor.
  • No booth should be designed to go beyond 9 ft. in height. Exhibitors and displays should not exceed this limit. No display will be done outside the limits of the booth area.
  • The Organizers may provisionally allot space to certain applicants which may be subject to change or cancel any time before the start of the fair. Platforms, podiums etc. leading to exhibits must be constructed within stand area in such a way that they are safe and enable visitors to move freely. No exhibits or any article would be allowed outside the stall or in the passage area, if it is found, it will be confiscated by the organizers.
  • All passages, emergency exits, main entrance and access to the service area are to be kept clear at all times.
  • The exhibitor using his own workers or contractors, to erect, decorate or dismantle his booth is responsible for the removal of all waste and rubbish resulting from such erection or dismantling from the exhibition hall before the opening of and after the exhibition period according to the arrangements of the organizers. No storage facilities shall be provided for packing cases, surplus materials or other property of the exhibitor.
  • All participants are required to remove the night sheets/ curtains from their stands within 15 minutes of the opening of the fair. In defiance of the same, the Organizer reserves the right to have the night sheets/ curtains removed or declare the stand officially closed, No claim on account of closure, theft, pilferage etc. will be entertained.
  • In case any exhibitor/ visitor having any claim about the design displayed by any exhibitor, he/ she should contact the organizers with documentary evidence i.e. registration of design with Registrar of Copyright/Controller of Patents & Designs/ Trade Marks etc. The Organizer on satisfaction can ask the exhibitor for removal of such products from display at the fair
  • The exhibitors must closely observe the following rules with the organizers official contractor before the commencement of the works.
  • No posters, wallpapers, paint, drilling or nails or screws may be applied to or used on the existing panel. The exhibitors shall be liable for all losses, damages and costs resulting from a breach.
  • The exhibitors may apply single or double-sided tapes on existing panel.
  • No glue, scotch tape, self adhesive paper, screws, nails, spikes, pins or paint should be used on floors, walls, pillars or any part of the exhibition hall.
  • Spray painting of stand panels with oil based paints and any inflammable material inside the wall is strictly prohibited. Redecorating of booth during exhibition time is strictly prohibited.
  • All containers, packing items and any other articles not for display must be remoy ad from the exhibition halls before 6 PMon 08th Aug 2024 for the cleaning of halls.
  • No pressurized containers may be used in the exhibition hall without the prior approval of the organizers.
Please also note.

i)No alterations to the stands shall be permitted for modular
ii)No side show will be allowed to any exhibitor.
iii)No ushers can be used for soliciting entry at any booth.
iv)No audio system will be allowed to play.
v)Exhibitors are not allowed for any auction/ bid of any products by any means at fair without written permission by organizer.
vi)Organizers will not be responsible for any liability raised by Sales Tax, Income Tax or Central Excise Dept. against exhibitor/ participant.

Electrical Work
  • Electricity will be supplied only through the organizers or electrical contractors appointed by the organizers. No multi plug is allowed to be used by any exhibitor.
  • Request for additional Electricity / Power Load has to be filled in the attached form no. II.
Additional Accessories

Modular shell stand structure along with the items already mentioned would be provided to the exhibitors. Additional display aids would be arranged by the participants themselves at their own cost.

Moving In and Out of the Exhibition Centre:
  • The organizers shall provide each exhibitor with a schedule for the moving in and out of the exhibits and decoration items, which must be strictly followed. In the process of moving, the exhibitor must arrange for the authorized representative to be present at their booth to receive the goods as the organizers are unable to accept on anybody’s behalf, nor are responsible for the subsequent safe keeping of anyitems.
  • All exhibits and decoration material shall be removed immediately after the exhibition according to the arrangement of the organizers. All the exhibits and decoration material left behind shall be deemed forsaken. The cost incurred for the removal of any such items shall be borne by the exhibitor.
  • All goods must be carried by rubber tyre, trolleys over protective boarding.
  • Entry to the Show by representative of participants will be on the basis of exhibitor passes/ badges issued by the Organizers with their photo attached.
  • Vehicles carrying exhibits etc. can be allowed to come inside the show venue from the designated gates well before the prescribed time of opening of exhibition & 3 hours after the close of the exhibition with the prior approval of the authorized representative of the Organizers.
  • Exhibitors can bring in their goods for sale as per the schedule: 1) Before and after the fair time, il) Between 1 – 2 PM, 4 – 5 PM and 6.30 -7.30 PM.
Sub-letting:

The exhibitors must not transfer, dispose or part with or otherwise sublet the whole or part of his site, whether for financial consideration or otherwise. The exhibitor must, if he is an agent distributor or licensee, state at the time of contract the names of principals to be represented. This does not prohibit an exhibitor displaying the products of a principal for whom he is an agent, distributor or solicensee with the prior written permission of the organizers.

Binding Terms of Contract:
  • In case any exhibitor is found not maintaining proper decorum in the fair, distributing literature, bag or any other promotional item, or canvassing in any form in and around the exhibition venue, or not complying with the General Exhibitor Rules, will be served a notice by the Organizers to explain their actions. In case this proves unsatisfactory to the organizers, the participant will be asked to either close the stand or will be debarred from future participation in the fair.
  • The submission of the application shall be deemed as confirmation of participation and acceptance of these terms of contract by the Exhibitor. The contract becomes effective as soon as the organizers have confirmed the allotment of space to the applicant. Dispute, if any, will be subject to Jaipur jurisdiction.
  • For any other disputes, the decision of the Organizers shall be final and binding on the applicant/ participant.
  • The Organizers shall not be responsible for any damage/ theft/ pilferage/ fire in any of the halls/ permanent or temporary structures due to any acts of God or man.
Cancellation of Application:
  • The Organizer reserves the right to allot/ allocate/ reallocate or reject the application for the space to the applicant.
  • The cases of those applicants who have been served notice(s) for non compliance of General Exhibitor Rules in any of the previous Govt. Export Body/ Council/ Federation/ Association fairs shall be placed before the Organizer along with reply/explanation, if any, furnished by the applicant for its consideration.
  • If at any stage it is found that any applicant does not fulfill the eligibility criteria or that the applicant has made a false declaration or mis-statement in the application for allotment of space, the Organizer reserves the right to cancel the allotment of space at any stage before or during the fair.
  • The refund of any amount either on account of excess payment or due to non allotment of space shall not bear any interest. However, refund would be made within 90 days after the close of the fair.
Arbitration

It is hereby agreed between the parties hereto, that in the event of any dispute or difference arising between the parties with regard to the terms & conditions of this Agreement or relating to the interpretation thereof and or implementation of respective rights obligations and/or responsibilities of the parties hereto, the same shall be referred to arbitration in accordance with provisions of the Arbitration and Conciliation Act, 1996 or any statutory modification or re-enactment thereof for the time being in force. The Arbitral Tribunal shall compromise of a sole Arbitrator who shall be the Organizer of FORHEX Fair. The arbitration shall be held in Jaipur and the proceedings shall be conducted in the English language. The parties further agree that only the courts at Jaipur shall have jurisdiction in all matters arising there under.

Opening & Closing Hours:
  • The stalls shall be handed over to the participants, approximately 18 hours before the start of the Fair and the participants are expected to decorate the stalls well before 4 hours of the scheduled opening.
  • Entry to the Fair will be for business visitors and invitee on 09th Aug between 10.00 AM to 1.30 PM. For general visitors, the fair is open for 09th – 12th Aug, 2024. On 09th Aug its between 1.30 PM to 8.00 PM and on 10th Aug – 12th Aug it will be between 10.00 AM to 8.00 PM
  • The space has to be handed over to FORHEX Fair by midnight of 12th Aug, 2024.
Insurance & Liability:
  • Exhibitors are advised to obtain insurance cover against all risk. It is clearly understood that the organizers stand indemnified by the exhibitors in respect of any loss or damage to property due to theft, fire, flood, injury, earth quake, or riots etc., to any person as well as third party claims.
  • Force Majeure: if the exhibition is abandoned, cancelled or suspended, in whole or in part by reasons of natural calamity, war, fire, national emergency, labour dispute, non-availability of exhibition venue or any of the clause not within the control of the organizer, the organizer may, at their own discretion repay the rental paid by the exhibitor, or part thereof, but shall be under no obligation for any loss of business and pay any compensation.
Lien on Exhibits:

The organizers reserve the right to retain all or any of an Exhibitor’s goods/ exhibits as collateral till all the dues including charges for services, damages, or penalties, if any, are settled by the Exhibitors. Any costs for retention of the collateral will also have to be paid by the Exhibitor.

General Safety & Security Guidelines:

The following safety guidelines should be observed at all time in the “EXHIBITION AREA”:

  • Keep common sense for safety at all times and act responsibly.
  • All entrances and exits are under constant surveillance and are guarded.
  • Smoking is prohibited throughout the Exhibition premises.
  • Possession of Weapons, Alcohol or illegal drugs is not permitted in the Exhibition Area.
  • Do not run in the Exhibition Hall.
  • Maintain vigil around Blind corners.
  • Keep “LEFT” while walking at the corners. Practice caution when approaching doors.
  • If you have question(s), please approach FOREX counter/ Service counter.
  • Beware of any unidentiedobects.
Fire & medical Emergency Guidelines:

On Hearing the FIRE ALARM move towards the nearest emergency exits (The alarm signal for FIRE is electrically operated Hooter sound):

  • Do not Panic, Shout or Run. All necessary arrangements have been taken to handle such an Emergency.
  • Follow the instructions on the Public Address Systems or the instructions given by the volunteers.
  • Do not move towards the direction of incidence &Do not crowd the place of incidence.
  • Walk away from the Exhibition Hall by the nearest EXIT to a safe place outside.
  • Do not obstruct the Fire Staff/Security in the event of Emergency
  • Avoid using cell phones unless important and Do not spread rumors.
  • Fire Extinguishers are placed at strategic positions.
  • Fire extinguishers will be provided by the organizers on rent on prior information with the application.
Medical Emergency:

In case any body requires Medical assistance approach the Security/ Fire Marshal/ Registration Desk. Medical help in the form of Doctor/Nurse/ Ambulance is available on site.

The Organizers reserves the right to photograph any exhibit for its use with the permission of the exhibitors.

The Organizers reserves the right of selection, position of advertisements and editing of advertisement material before printing in the Directory.

The Organizers does not take any responsibility for or guarantee the procurement of any business or trade enquiry in the fair.

The participation in previous FORHEX Fair does not guarantee or give preferential status for space allotment in present or future fairs unless otherwise decided by the Fair Committee.

The participant will be participating in the fair at their own risk and cost.

The interpretation of these rules by the Organizers will be final,

Supplementary Rules & Regulations:

All rules and regulations details as well as any further rules framed by the organizers from time to time and circulated to all exhibitors shall be deemed to be Terms of contract and shall be binding on all exhibitors. Please retain a copy of Application Form for your records.

DECLARATION

This is our application for stand space for the above exhibition and we declare that the information given by us is true to the best of our knowledge and in the event of any wrong declaration of information, the Organizers has the right to cancel our participation in the FORHEX Fair 2024, We confirm that we have read, understood and agree to comply with and to be bound by the Exhibition Terms & Conditions as well as the General Exhibitor Rules enclosed with this application form.

We further undertake to comply with the general or specific instructions/ directions issued from time to tine by the FOREX Fair committee before or during the fair.
